ALL other applicants MUST have valid test scores on file to be considered for this recruitment.SKILLS EXAM:Applicants will be emailed regarding the skills exam requirement.Testing Policy: Only applicants for this recruitment will be allowed to take the required exam due to the District's new "maximum" capacity in the testing room & COVID-19 protocols.SCHOOL OFFICE PARENT LIAISONJOB SUMMARYPositions allocated to this classification report to the site administration and require a knowledge of school, district, and county programs and community based services. Under general supervision, act as a liaison between school, home and the community; perform general clerical duties; and perform essential job duties and responsibilities and other related work as may be required.ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • First point of contact for parents and campus visitors; assist and facilitate families and visitors to appropriate personnel;
  • Work with parents and school staff to facilitate the mutual exchange of information and increase family participation in the students' educational experience;
  • Establish liaison with parents through personal contact or by telephone providing or obtaining information which will assist teachers and to promote positive home/school relationships and help implement a variety of parent education and orientation programs;
  • May act as a receptionist, greet students, staff, or other callers and either furnish the desired information or refer caller to proper authority or arrange an appointment;
  • Operate a variety of office equipment including a computer, printer, scanner, copy/fax machine;
  • May type and prepare a variety of general correspondence such as letters, reports, announcements and memoranda;
  • Create, manage, implement, and monitor school's volunteer program;
  • Assist in helping parents to keep apprised of school curricula, programs and other activities;
  • Seek out new families and orient them to the community, extend the offerings and services of the school, and explain special programs;
  • Encourage parents attendance and participation at parent advisory committees; PTA/PTO family engagement opportunities, workshops, meetings, and school related activities and assist them in their role as parent representatives;
  • Establish lines of communications with parents regarding activities and offerings of the district's compensatory education programs available to them;
  • Work with parents and community at large at establishing and improving public relations;
  • May assist the school in obtaining, transmitting, and organizing school records;
  • Be familiar with activities of the area's public and private service agencies and assist parents for various federal, state, and other requests for information, surveys and reports;
  • May assist teachers and parents in setting up joint conference appointments. This includes making and receiving phone calls and record keeping in the front office;
  • Document all contacts with families and students in the student information system;
  • May attend meetings and workshops during and after normal working hours;
  • Perform a variety of routine clerical duties such as word processing, filing, reproducing of materials, preparing schedules and calendaring meetings;
  • Serve as a parent trainer;
  • Work with school counselor/school psychologist to develop parent trainings based on needs of the school;
  • May serve as an interpreter or translator for parents and school staff as needed and for school communications;
  • Assist parents in making appointments with social service agencies and medical offices;
  • May assist with contacting students and families regarding attendance concerns;
  • Document all contacts with families and students in the student information system;
  • May assist with providing information to families in regards to health related mandates.This includes making phone calls, preparing information for parent communication;
  • Perform other related work as may be required. EMPLOYMENT STANDARDSKNOWLEDGE AND ABILITIESKnowledge of:

    • Procedures, methods, techniques and strategies utilized in in the developments of a school and community liaison;
    • Community resources related to children and parental needs;

    • Modern office procedures and practices including complex filing systems, receptionist telephone techniques, and software programs;
    • Office machines and equipment including the use of a computer;
    • Correct English usage spelling, grammar, and punctuation;
    • Applicable state laws, district policies, procedures and other regulations governing the program or area of assigned responsibilities.Ability to:
      • Communicate and establish positive relationships with school staff, families, and community members;
      • Effectively speak before various groups on behalf of the school and district;
      • Understand and follow oral and written directions;
      • Establish and maintain effective working relationships with those contacted in the course of job duties;
      • Respond appropriately to direction and changes in the work setting;
      • Exercise leadership in integrating school and community relations;
      • Understand the operation of the school district;

      • Work confidentially with discretion.SPECIAL REQUIREMENTSSome positions in this class may require individuals who can read, write and speak a secondary language.EDUCATION AND EXPERIENCEEducation: Equivalent to graduation from high school, and possession of the knowledge and abilities listed above.Experience: Two (2) years of experience performing increasingly responsible clerical duties; previous experience working in a school or public agency with duties that emphasize the development of relationships and/or community outreach programs is highly desirable.REQUIRED LICENSES AND/OR CERTIFICATESIf driving a vehicle is required in the course of work, operator must possess a valid California Driver's License and maintain possession of such license during the course of employment; have an acceptable driving record; and must be insurable at standard rates by the District's insurance carrier and maintain such insurability.PHYSICAL DEMANDS AND WORKING CONDITIONSThe physical requirements indicated below are examples of the physical aspects that this position classification must perform in carrying out the essential job duties and responsibilities listed above.Physical Demands: Sit (continuously), stand, walk, bend, stoop, push, pull (occasionally); possible stairs; repetitive hand activities within close reach, such as keyboard, mouse, handwriting and file management (continuously); sit for prolonged periods of time, lift/carry office supplies up to 10 pounds (occasionally); carry on normal speech and hearing activities.Working Conditions: Indoor school office setting; exposure to usual school office noise.Reasonable accommodations may be made to enable a person with a disability to perform the essential duties and responsibilities of the position.EMPLOYMENT STATUSClassified Bargaining Unit PositionRange 26 August 2015
