on the Print Preview link. SUMMARY OF JOB DESCRIPTION : Within the
division of Academic Success, the Executive Associate (EA) will
provide executive level administrative support to the Executive
Vice President & Provost ( EVP ). The EA works independently with
minimal supervision; makes procedural and administrative decisions
as needed requiring judgment, initiative and knowledge of LIT
policies and procedures, and TSUS rules and regulations; exercises
discretion in confidential personnel and student matters; serves as
a liaison between staff, students, faculty, visitors, and
administration; provides exceptional customer service to diverse
populations at all times. This position may require some late
nights or weekends, and exceptional attendance and punctuality are
a must.
DUTIES AND RESPONSIBILITIES :
--- Offer exceptional customer service in a student-centered,
professional environment at all times.
--- Screen and evaluate incoming calls, visitors, and
correspondence for the EVP . Resolve concerns, and make referrals
as needed; schedule appointments and assist guests, students,
staff, and faculty with concerns and inquiries.
--- Assist with the updating of the catalog, and handbooks.
--- Compose routine correspondence on behalf of the EVP ; make
travel arrangements for the EVP and other division personnel as
requested, prepare travel and purchasing documents, verify
requisitions and purchase orders; submit invoices for payment;
review financial accounts; track expenditures and monitor account
balances.
--- Prepare payroll records for employees and student assistants in
the office of the EVP and the Academic Success Division, and train
and supervise student workers.
--- Collect data for various reports as requested.
--- Schedule meetings, prepare agendas, notify attendees, take and
distribute minutes of meetings.
--- Assist Student Services directors/coordinators/staff as
requested.
--- Process and maintain forms requiring the EVP's signature.
--- Input student data in LIT's ERP (Banner).
--- Collaborate with the Institutional Research Office as
needed.
--- Serve as a resource person for department administrative
associates/assistants and provide training and back-up as
needed.
--- Prepare Personnel Action Requests (F3.2s) and hiring packets as
needed for the Academic Success Division.
--- Notarize documents for students, staff, and faculty.
--- Distribute and verify Vacation/Sick Leave reports for the
Academic Success Division.
--- Inventory and order supplies for the office of the EVP and
Academic Success Office.
--- Demonstrated ability in maintaining confidentiality.
--- Approved overtime to include evening and weekends may be
required.
--- Other duties may be assigned to this position on a regular or
occasional basis to respond to needs of the Institute. Minimum
Qualifications Minimum Education Required: Graduation from an
accredited high school.
Minimum Qualifications: A minimum of five years' experience in
progressively responsible administrative support positions. EEO

associate degree in a related field from a regionally accredited

Preferred Qualifications or Skills: Administrative experience in
higher education, proficient skills in Banner, and Microsoft Office
applications. Must qualify as a Notary Public within the first six
